Site Selection Committee

The Site Selection Committee has long played a central role in shaping the American Crystallographic Association’s Annual Meetings by identifying and evaluating locations capable of supporting the Association’s scientific, logistical, and financial needs.

In its modern form, the Committee was composed of the Executive Director—who served as Chair—along with representatives from each standing committee (Education, Engagement, Meetings, and Communications) and a volunteer representative from the Young Scientists Interest Group (YSIG). This structure reflected an intentional broadening of perspectives, ensuring that site selection decisions were informed by programmatic priorities, member engagement considerations, and the needs of early-career scientists.

The Executive Director guided the Committee’s work by providing historical meeting data, attendee feedback, and financial analyses, enabling informed comparisons across potential sites. Site evaluations considered geographic location and accessibility; the adequacy of facilities for scientific sessions, posters, and exhibits; overall costs and value, including meeting space and catering; and the quality, affordability, and proximity of hotel accommodations. When advantageous, the Committee also explored multi-year venue agreements that offered pricing stability or logistical efficiencies.

Throughout the evaluation process, the Committee reported regularly to the ACA Council, which retained final authority over all site decisions and the right to reject venues at any stage. Upon completing its assessments, the Committee submitted a formal summary report outlining its findings and recommendations. Contract negotiations were conducted by the Executive Director, with finalized proposals subject to review and approval by the Treasurer and Council.

This committee structure reflects the Association’s continuing efforts to balance scientific excellence, fiscal responsibility, and member experience in the planning of its Annual Meetings.
